Terms & Conditions

Booking Terms and Conditions

Please read these Terms and Conditions carefully before making a reservation. By completing and submitting the Booking Form, you confirm that you have read, understood, and accepted these Terms and Conditions, which constitute a legally binding agreement between you and Exploria S.A.C.


1. Bookings and Payments

To confirm a reservation, the client must complete the Booking Form and make a non refundable deposit of USD 300 per person. The Booking Form is available upon request or can be completed online.

All prices are listed in United States Dollars (USD). The remaining balance must be paid no later than 30 days prior to the start of the service.

For reservations made less than 10 days before the start date, full payment is required at the time of confirmation.

Accepted Payment Methods:
  • Bank transfer or bank deposit
  • Western Union
  • Credit or debit cards (5 percent service fee applies)
  • Cash
  • Digital payment platforms (Yape, Plin)

2. Cancellations and Refunds

All cancellations must be submitted in writing via email.

The following cancellation penalties apply:

  • More than 30 days before the start of the service: loss of the deposit and any additional non refundable payments
  • Between 30 and 20 days before the start of the service: loss of 50 percent of the total trip cost
  • Less than 20 days before the start of the service: loss of 100 percent of the total trip cost

3. Special Conditions for Expeditions and Mountaineering | Modifications and Cancellations

3.1. Any modification requested by the client (change of destination, dates, tour type, additional services, etc.) is subject to availability and possible penalties, which will be assumed by the client.

3.2. If unforeseen circumstances beyond Exploria’s control occur (weather conditions, road closures, access restrictions, safety issues, etc.), an alternative destination or activity of similar duration will be offered at no additional cost.

3.3. Exploria reserves the right to cancel or suspend activities due to health issues, inappropriate behavior, or failure to comply with safety rules or guide instructions.

3.4. Mountaineering activities depend on weather and mountain safety conditions. If an expedition cannot be completed due to these factors, an alternative activity will be offered at no additional cost.

3.5. During any expedition, the certified mountain guide has full authority to decide whether to continue, modify, or stop the activity in order to prioritize group safety.

3.6. In the event of early return due to adverse mountain conditions, weather, health issues, or client behavior, no refunds will be issued.


4. Client Responsibilities

4.1.Clients must be in good physical and mental health to participate in our activities.

4.2.Participation is not recommended for individuals with serious medical conditions, including severe asthma or uncontrolled hypertension, due to the risks associated with high altitude.

4.3.Expeditions take place in remote areas with limited medical access. In the event of an emergency, the client is responsible for all evacuation and medical expenses.

4.4.Clients aged 65 years or older must provide a medical certificate confirming their fitness for the contracted activities.

4.5.Participation under the influence of alcohol, drugs, or any substances that may compromise personal or group safety is strictly prohibited.

4.6.All clients must present a valid identification document (Passport, National ID, or Visa) at the time of booking.


5. Preliminary Declaration

By participating in our activities, the client certifies that:

  • They are in good physical and mental health
  • They have disclosed any relevant medical conditions to Exploria
  • They agree to inform Exploria of any change in health condition before or during the trip
  • They have taken necessary precautions, including vaccinations and adequate travel insurance
  • They authorize Exploria to share relevant medical information with a qualified professional if required to assess fitness for the expedition

6. Travel Insurance

The cost of our services does not include travel insurance or medical insurance. All clients are strongly required to obtain insurance covering accidents, medical expenses, emergency evacuation, and baggage loss.


7. Transportation and Airlines

Exploria is not responsible for delays, changes, or cancellations of flights or other national or international transportation services.


8. Complaints

If any issue arises during the trip, the client must notify the guide or service provider immediately in order to seek an on site solution. If the issue is not resolved, the client may contact Exploria by email, phone, or visit our office within 30 days after the end of the service.


9. Assumption of Risk

By booking with Exploria, the client acknowledges and accepts the inherent risks of adventure travel, including uneven terrain, high altitude, extreme weather conditions, and limited access to medical assistance. Exploria shall not be held responsible for injuries, losses, or material damages that may occur during the activities.


10. Image Rights

Exploria may use photographs or videos taken during activities for promotional and marketing purposes unless the client expressly states otherwise in writing.


11. Applicable Law and Jurisdiction

These Terms and Conditions are governed by Peruvian law. Any dispute arising from these policies shall be resolved in the courts of Huaraz, Peru.
